How a UK CV differs

In the UK the job is an Administrator, Team Administrator or Admin Officer; Administrative Assistant appears but reads as the American title. Councils, the NHS, universities and housing associations are the biggest employers, and most recruit through an online application form with a person specification, which the CV must be ready to feed. A UK Administrator CV runs to one and a half or two sides of A4, no photo, no date of birth, and it names the qualifications these employers screen on: GCSEs in English and maths at grade 4 or above, a Level 2 or Level 3 business administration qualification, and sometimes a typing certificate. Minute taking, Freedom of Information requests and GDPR appear on UK person specifications where an American page would say records and compliance.

For a administrator in the UK

  1. Administrator, not Administrative Assistant

    Use the title the advert uses, usually Administrator, Team Administrator or Admin Officer. Keep Administrative Assistant only where a specific employer uses it.

  2. GCSEs and the Level 3 diploma

    List GCSE English and maths with the grades, and any Level 2 or Level 3 Diploma in Business Administration. Public sector adverts name these as essential criteria and screen on them before reading the experience.

  3. Person specification and the application form

    Most public sector employers want the form, not a CV. Write your bullets as whole sentences grouped by the person specification's criteria so they paste straight into the supporting information box.

  4. DBS where the post needs it

    Administrators in schools, the NHS and social care need a DBS check. If you hold a current one, give the level and date; it saves the employer time and moves you up the list.

  5. Welsh, Gaelic and other languages

    In Wales and parts of Scotland, public bodies ask about Welsh or Gaelic. State your level honestly; conversational Welsh is a listed desirable on many Cardiff adverts.

A4 paper
Set the page to A4, 210 by 297 millimetres. A Letter-sized PDF prints with odd margins on A4 and reads as imported from the US.
Two pages is normal
Most UK CVs run to two pages. One page suits a first job; three is rare and only for senior roles with a lot to show.
No photo, no date of birth
UK employers do not expect a photo, a date of birth, marital status or nationality on a CV, and most prefer not to see them.
Dates as DD/MM/YYYY
Day first where a full date appears, and month and year for each role: "Mar 2022 – Present". Never the US month-first order.
British English
Organise, programme, centre, licence, specialise. A CV in American spelling reads as written for somewhere else.
Town and postcode area, not a street address
A line such as "Manchester, M4" is enough. A full postal address, and the US-style "City, ST 12345" line, are not expected.
