Administrative roles draw large applicant pools, so the first pass is fast and practical: which office software can you use from day one, and how many people can you support. This template answers in that order. Skills sit directly under the summary with your office suite, scheduling and finance tools, and the experience slots ask for headcount supported, volume handled and one improvement per job.

The layout has four sections and no extra block. Admin hiring managers want a clean, error-free page that is easy to scan, and a separate certifications or projects section rarely adds enough to earn its space; a Microsoft Office Specialist certificate fits on the software line. Proofread the finished page as carefully as you would a letter going out under your manager's name, because the page itself is a work sample.

Write over every bracket with your own detail and delete what does not apply. Office settings differ, so the guide notes how medical, legal and school offices change the wording. The administrative assistant resume example shows the layout completed.

How to fill in each section

  1. Summary: who you support and where

Open with the size of the group you support and the setting, because an admin role in a hospital, a law firm or a university comes with its own systems and vocabulary. List the four or five tasks that fill your week, using the posting's words. Finish with one improvement, stated plainly. Keep it to three lines; admin readers prefer short, direct pages, and a long summary works against that impression.

  2. Skills: software by name, tasks in the posting's words

Name the suite and the apps you work in daily, and say Microsoft 365 or Google Workspace rather than *computer skills*. A second line for scheduling and finance tools matters because many admin roles also process expenses or purchases. Add typing speed only when the posting asks for it, and only if it is fast. For medical, legal or school offices, add the setting's system, such as an EHR scheduler or a student records platform.

  3. Experience: headcount, volume, one fix

Admin results are counts: people supported, meetings booked, trips arranged, invoices processed, events run, visitors greeted. Put the number early in the bullet. Then give each job at least one improvement you made on your own initiative, such as a better filing system, a supplier change, or a checklist that cut corrections. Even a front desk role can show this. Avoid lines that only describe the job title back to the reader.

  4. Education: whatever you have, briefly

Many administrative postings ask for a high school diploma and value an associate degree or office administration certificate. List the highest level you completed with the year, plus one relevant certificate. If you are studying part time, add the program and expected date; employers often support staff who are building toward a degree. Courses in bookkeeping or records management are worth naming when the posting mentions those duties.

Questions about the administrative assistant resume template

Why is there no certifications section in the administrative assistant template?

Most admin certifications are software credentials, and they read best next to the software they certify. Put a Microsoft Office Specialist or similar credential on the office software line. If you hold a broader credential such as the Certified Administrative Professional, add it under education.

How do I adapt this template for a medical or legal office?

Add the setting's systems to the skills block, such as a patient scheduling or document management system, and use its terms in your bullets: patient check-in, chart preparation, court filing deadlines. Keep confidentiality visible by describing records you handled without details.

What if my only experience is retail or customer service?

Use those jobs and fill the bullets with the admin-like parts: scheduling shifts, handling cash and records, answering customer questions, ordering stock. Put office software first in skills. The receptionist resume example shows a common first step into office work.

When should I use the executive assistant layout instead?

When you support one or two senior leaders closely, manage their priorities and represent them to others. That resume leads with the executives you support and the decisions you handle for them; the executive assistant resume example shows it.

Is it free?

Yes. The Word files and the Google Docs copy are free to download, edit and use for any application. There is no signup and no email.

Will it read correctly in an applicant tracking system?

The layout is one column with standard headings and real text: no tables, text boxes, icons, columns or images, which are the parts parsers most often misread. Keep it that way as you edit.

Word or Google Docs?

Use whichever you edit in. The Word file opens in Microsoft Word, Pages and LibreOffice. The Google Docs link asks you to make a copy in your own Drive; the original stays blank for the next person. Send the posting the format it asks for, usually .docx or PDF.
