A personal assistant is usually hired by the person they will work for, or by a placement agency acting for them, and that reader wants to know two things fast: how large a life you have kept running, and whether you can be trusted with it. So each job slot in this template opens with the principal described by type and scale instead of by name, and the bullets ask for the areas you owned, from calendars and travel to staff and household spending.

Each bracketed line tells you what belongs there; write over it with your own facts, drop the slots you have nothing honest for, and leave the section headings as they are. Skills sit after experience, because a family reads your history first and your software second. A closing Certifications and Availability block answers the questions every agency asks before an interview: travel, weekends, a driver's license and first aid.

A completed version, written for an assistant to a family office principal, is the personal assistant resume example.

How to fill in each section

  1. Summary: the kind of life you run, and how big

Say what type of principal you have supported and across how many homes, offices or cities, so a family can picture its own situation in yours. The middle sentence is about trust: the budget, the staff or the private matters you have handled. Close with the arrangement you want, live-in or live-out and how much travel, because agencies screen on that before anything else. Leave out words like discreet; the way you describe the principal shows it.

  2. Experience: principal by type, then areas you owned

Head each job with the principal described the way a placement agency would write it: industry, family size, number of residences. Then use the bullets for areas of ownership rather than a list of chores, each with a measure: appointments a week, trips a year, monthly spend reconciled, contractors scheduled. If you signed a confidentiality agreement, keep every detail that could identify the family off the page, including neighborhoods and the names of schools or companies.

  3. Skills: three short lines a family can scan

Split the block into support work, software and household tasks so a principal who mostly needs travel help and one who mostly needs a house run can each find what they need. Name the tools the posting mentions, such as the accounting program the family office uses. Keep personal shopping and errands on the household line; they are real work, and listing them plainly saves a question later.

  4. Certifications and Availability: answer the screening questions

Agencies ask the same things on the first call: can you travel, can you work weekends, do you drive, is your passport valid, are you trained in first aid. Put the answers here in one place. Add a professional credential only if you hold it now, with the year. A notary commission is worth listing, since principals often need documents witnessed on short notice.

  5. Education: one line at the end

Families rarely hire a personal assistant on a degree, so a single line with the qualification and year is enough. A course that fits the role, such as event planning, bookkeeping or a language, can follow on the same line. If you have no degree, list relevant training instead and let your experience section carry the page.

Questions about the personal assistant resume template

How do I write a personal assistant resume if every past job was confidential?

Describe each principal by type and scale, never by name, and keep your bullets about the systems you ran. Tell the agency at the start that references are available on request with the family's permission. Most families expect this and would be wary of a candidate who named a previous employer freely.

Should I apply with this template or an executive assistant one?

Use this one when most of your work touched the principal's private life: homes, travel, family, staff. If your work was mainly inside a company, supporting an executive's business calendar and meetings, the executive assistant resume template frames it better.

Where does household manager experience go?

In the experience slots, with the household described by size and the staff you scheduled or supervised. If running the house was most of the job, the household manager resume example shows a layout that leads with property and staff instead of calendars.

Is it fine to include a photo or my age?

No. US resumes leave out photos, age, marital status and nationality, and a careful family or agency will not ask. Your availability, driver's license and passport status are the personal details that do belong on the page.

Is it free?

Yes. The Word files and the Google Docs copy are free to download, edit and use for any application. There is no signup and no email.

Will it read correctly in an applicant tracking system?

The layout is one column with standard headings and real text: no tables, text boxes, icons, columns or images, which are the parts parsers most often misread. Keep it that way as you edit.

Word or Google Docs?

Use whichever you edit in. The Word file opens in Microsoft Word, Pages and LibreOffice. The Google Docs link asks you to make a copy in your own Drive; the original stays blank for the next person. Send the posting the format it asks for, usually .docx or PDF.
