Sales Manager Cover Letter Example

A sales manager cover letter is read by a vice president of sales who wants two things in the first paragraph: the team's attainment over several periods, and the size of the team and target behind it. After that the reader wants to know what made the result repeatable, which means hiring, coaching and pipeline discipline, and whether you have carried a number yourself.

The sample below goes with the sales manager resume example: Derek Holloway, who leads a nine-person field team for a building supply company across Indiana and Ohio, applying for a regional sales manager role at a building products manufacturer that wants to grow its contractor channel. The letter gives three years of attainment in the opening, explains the pipeline and hiring changes behind them, leads the third paragraph with the distributor channel the posting cares about, and closes with an offer of a first-quarter plan.

Adjust it to the sales motion. Field sales wants territory and relationship depth; inside sales wants activity, conversion and ramp time; channel sales wants partners and enablement. Keep the team's results first and your own records second.

Application for Regional Sales Manager, Midwest Region

Dear Mr. Kowalczyk,

I am applying for the Regional Sales Manager role for your Midwest region. For the past four years I have led a nine-person field team for Crossroads Building Supply across Indiana and Ohio with a $28M annual target, and the region finished at 104, 109 and 112 percent of target in 2023, 2024 and 2025. Your posting asks for a manager who can grow a contractor channel through distributors, which is the part of the job I would most like to talk about.

The three years of attainment came from two changes. I rebuilt the weekly pipeline review around stage exit criteria, so a deal moves when the customer has done something, not when the rep feels good about it; forecast accuracy went up and the deals that had sat untouched for more than 60 days came off the board. I also hired and onboarded five representatives on a 90-day ramp plan, and all five reached full quota inside their first year. I coach in the truck rather than from the office, and I ride along with every rep each month.

The contractor channel is the result I would bring you first. I opened it with three regional distributors, built the enablement and the margin structure with them, and it has become a steady source of new orders rather than a side project. Before managing, I sold medical and surgical supplies to 70 clinics and two hospitals for four years at an average of 115 percent of quota, and I closed the largest new account in that company's history, a five-year supply agreement with a hospital group. I know what it is to carry the number, and I hire for the curiosity that carries it.

My resume is enclosed with the team's results by year. I would welcome the chance to meet and walk you through how I would approach the Midwest territory and its distributor relationships in the first quarter, and I can travel to Columbus at short notice. Thank you for your time.

Sincerely,

Derek Holloway

How this sales manager cover letter is built

  1. The opening gives the team, the target and three years of attainment in two sentences

A vice president of sales reads a manager's letter the way they read a forecast: numbers first, story second. Team size, territory, target and three years against it are all in the second sentence, and the third sentence names the posting's own priority, the contractor channel, so the reader knows the applicant read it. The percentages are the resume's figures, repeated exactly.

  2. The second paragraph explains the method behind the number

Attainment without a method could be a good territory. The letter gives two causes a sales leader can verify in an interview: stage exit criteria in the pipeline review, with the forecast and stale-deal effect, and a 90-day ramp plan with the fact that all five hires reached quota. The ride-along sentence says how the coaching happens rather than that it happens.

  3. The third paragraph leads with the result the posting wants, then the individual record

The distributor channel goes first because the posting asked for it; the detail about enablement and margin structure shows the work rather than the headline. Only then does the letter reach back to the rep years on the sales manager resume, with the quota average and the largest account, framed as proof that the manager has carried a number, not as the main event.

  4. The closing names the enclosure and offers a first-quarter plan

Offering to present a plan for the territory's first quarter is the sales equivalent of a trial close: it moves the conversation to how, not whether. The paragraph says the resume is attached with results by year, gives travel availability and thanks the reader once.

  5. The whole letter keeps team results first and personal results second

Every number in the first two paragraphs belongs to the team. The applicant's own quota record appears once, late, in service of a point about hiring. That ordering is the difference between a letter from a manager and a letter from a top rep who wants the title.

Mistakes that cost sales manager interviews

  1. One record quarter standing in for a track record

A single quarter at 140 of target tells a vice president nothing about the next one. Give attainment by year or by quarter for as many periods as you can, including the soft ones, and let the pattern make the argument. Consistency at 105 is a stronger story than one spike.

  2. Team results without the team's size or target

"Exceeded target three years running" means something different for a four-person inside team and a twenty-person field team. State the headcount, the territory and the dollar target in the same sentence as the attainment. Without the scale, the reader cannot compare you to the role.

  3. Leading with your own closes as a manager

A letter that opens with the biggest deal you personally closed reads as an application for a rep job. Managers are judged on what the team did and on who they hired, coached and promoted. Keep your individual record for one sentence near the end, as proof you have carried the number.

  4. Sales language in place of numbers

"Results-driven leader with a hunter mentality" is on every sales resume and persuades no sales leader. Replace each phrase with the figure or the example it is hiding: the ramp plan, the stale-deal rule, the attainment by year. If a sentence has no number and no specific example, cut it.

  5. A letter for the wrong sales motion

Field sales, inside sales and channel sales are run differently and read for different evidence. A field letter should mention territory, travel and ride-alongs; an inside letter should mention activity, conversion and ramp; a channel letter should mention partners and enablement. Rewrite the second paragraph for each posting's motion.

  6. Forgetting the people you developed

Reps who reached quota after your coaching, hires who ramped on schedule and team members promoted out of your region are the clearest evidence of management skill. One sentence with a count belongs in every sales manager's letter. A vice president is hiring someone to grow people, not just to report their numbers.

Questions about the sales manager cover letter

How long should a sales manager cover letter be?

Four paragraphs on one page, around 350 words; the sample above is about 335. A vice president of sales reads it the way they read a pipeline report, for the numbers and the reasons, and a longer letter looks like a rep padding a forecast.

Who should a sales manager cover letter be addressed to?

The vice president or director of sales the role reports to, by name, with "Mr." or "Ms." The posting usually gives the title; the company's leadership page or a quick call to the office gives the name. If the role sits under a general manager, address it there. "Dear Hiring Team" is the fallback, not the default.

Should I give actual revenue figures in the letter?

Give the target and the attainment, which is what sales leaders compare: a $28M target and 104, 109 and 112 percent against it says more than a revenue total. If your employer treats the target as confidential, give the attainment and the team size and describe the target as a range in the interview.

How do I write the letter for my first sales manager job?

Open with your quota record over several years, then spend the second paragraph on the management you already do without the title: the newer reps you mentor, the call reviews you run, the playbook you wrote, the team meeting you own. Say that you are applying for your first manager role and what you would do in the first ninety days. Sales leaders promote people who are already coaching.

How do I explain a year the team missed target?

Include it in the sequence rather than skipping it, add one clause on the cause and one on what you changed, and let the following year's number show the recovery. A vice president has missed a year too and will trust a manager who names it more than one whose history has a gap in it.

Should I mention the CRM in the letter?

Only in the sentence about how you run the pipeline, where it shows the discipline rather than the software: the stage exit criteria live in the CRM, the stale-deal report comes out of it. Postings that name a system are often filtered on it, so use the name once if you have used the system.
