Personal Assistant Resume Example

A personal assistant resume is read for discretion, judgment and range. Principals and their recruiters want proof you can run a busy private life quietly. The best evidence is scale and systems, described without a single identifying detail.

The Sample resume below is for a personal assistant with six years supporting a family office principal and, before that, an executive at an investment firm. The bullets stay specific without breaking confidence: the number of properties and staff coordinated, the travel volume, the vendor contracts renegotiated, the events run, the systems put in place so nothing slips. Names of principals never appear, which is itself a signal the reader is looking for.

Match the page to the household or principal. A private family wants household staff coordination, travel and children's schedules; an entertainment or sports principal wants irregular hours, press discretion and gatekeeping; a founder wants calendar control that bleeds into business support. The executive assistant example shows the corporate version of the role, and the nanny example covers a household position many PAs coordinate. The Brief template fits a role where restraint on the page matters as much as detail.

How the resume changes with experience

The same personal assistant resume, written at three levels: a summary and three bullets for each.

Entry level

Zero to two years, or a first role in the title

Personal assistant with two years of experience supporting a busy professional couple with scheduling, errands, travel and household administration, following three years in hotel concierge work.

  • Manage two personal calendars, weekly grocery and pharmacy runs, dry cleaning, car service and pet care for a household of four.
  • Booked and managed twelve domestic and international trips in the last year without a single lost reservation.
  • Set up a shared family calendar and a labeled filing system that ended the weekly search for school forms and warranties.

Mid level

Three to seven years, owns a process or a workload

Personal assistant with five years supporting a single principal in entertainment, handling travel, home management and public-facing discretion during a demanding production schedule.

  • Coordinate travel, residences and a staff of five across two cities.
  • Cut monthly household spend by consolidating vendors and tracking every invoice.
  • Decide which requests reach the principal and which are handled quietly, based on a standing brief.

Senior

Eight years or more, leads people, budgets or programs

Chief of staff to a private family with ten years in household and personal management, overseeing estate staff, budgets and a portfolio of philanthropic commitments.

  • Oversee a household budget above $2M a year and a staff of fourteen across three properties.
  • Led the family's move to a new primary residence, from purchase through full staffing, in five months.
  • Set hiring standards and confidentiality protocols for every new household employee.

Skills to put on the personal assistant resume

Hard skills

Calendar and travel management
Every principal's first question is whether you can run a moving schedule across time zones without them noticing the effort.
Household and vendor coordination
Private roles involve contractors, staff and service providers, and evidence you manage them shows you can run a property, not only a diary.
Budgeting and expense reconciliation
Principals hand over cards and accounts, and a clean reconciliation record is what makes that possible.
Event planning
Dinners, holidays and family celebrations land on the PA, and a few well-run events prove you can handle pressure with guests watching.
Confidentiality practices
Signed agreements, document handling and discretion in how you describe past roles are checked closely by recruiters in this field.
Office and task software
Shared calendars, task boards and expense apps keep a household running, and the recruiter wants to know you set them up rather than waited for someone else to.

Soft skills

Discretion
Principals hire people who will never be a story, and how you talk about former employers in the interview is the test.
Anticipation
The best assistants solve problems before they are raised, and recruiters listen for examples of that in every interview.
Composure when plans change
Cancelled flights and surprise guests are routine, and the principal wants someone who gets calmer as things go wrong.
Boundaries and tact
Saying no to a request on the principal's behalf without causing offense is a daily requirement.

Mistakes that cost personal assistant interviews

  1. Naming or describing the principal

Never put a former principal's name, company or identifying detail on the page. Describe the role by scale, such as three residences and a staff of nine, and let the recruiter ask for references.

  2. A list of errands

Picked up dry cleaning and booked restaurants is true but does not sell you. Show the systems you built, the money you saved and the volume you handled, so the reader sees judgment rather than tasks.

  3. Skipping the numbers

Trips per year, staff coordinated, event sizes, budgets managed: these tell a recruiter what level of household you are ready for. Keep them approximate if precision would identify anyone.

  4. Overstating the title

Calling yourself a chief of staff when you managed one principal's calendar invites doubt when references are checked. Use the title you held and let the bullets show the range.

  5. No mention of availability

Private roles often need evenings, weekends and travel. If you can do them, say so in the summary; it removes the recruiter's biggest question about fit.

Questions about the personal assistant resume

How do I describe a confidential personal assistant role on a resume?

Name the type of principal, such as a family office principal or a professional athlete, and the scale of the household, then describe your responsibilities and results without any identifying detail. Recruiters in this field expect it and will ask for references separately.

What is the difference between a personal assistant and an executive assistant resume?

An executive assistant resume centers on business support: meetings, board materials and corporate travel. A personal assistant resume centers on the principal's private life: residences, family, vendors and personal finances. Many roles blend both, so show whichever the posting leans toward first.

Should I include household tasks like errands and shopping?

Yes, but grouped and framed by scale, such as managing all personal purchasing and returns for a family of five. One line is enough; spend the rest of the space on coordination, systems and savings.

Do personal assistants need certifications?

None are required, but first aid and CPR, a clean driving record and a certified administrative credential reassure families. If you hold a security clearance or have passed background checks for past roles, mention that too.

How long should a personal assistant resume be?

One page. Private recruiters read quickly and value restraint; a resume that says less, precisely, matches the temperament they are hiring for.

Every application goes out fitting the job.
