Bookkeeper Resume Example

Small business owners hire a bookkeeper to stop worrying about the books. Your resume should reassure them in the first few lines: which software you keep, how many clients or transactions you handle, and that payroll, sales tax and the bank reconciliation are done on time without being chased.

The Sample resume below is for a full-charge bookkeeper who has kept the books for small companies for five years, first in-house at a landscaping firm and now for a portfolio of clients. Notice how each line names a routine task and what it spared the owner: late fees avoided, a messy file cleaned up before tax season, a cash-flow report the owner now reads every Monday.

Bookkeeping postings differ more than they look. A single-company role wants depth in one business, while a firm serving many clients wants speed and organization across several files. Tailor the summary to that difference each time you apply. A plain one-column layout such as the ATS-Optimized template keeps software names readable for tracking systems, and the accountant example shows the next step if you are working toward a degree.

How the resume changes with experience

The same bookkeeper resume, written at three levels: a summary and three bullets for each.

Entry level

Zero to two years, or a first role in the title

Detail-minded bookkeeping assistant with an accounting certificate and a year of part-time experience entering bills and reconciling bank accounts for a local firm. Fluent in QuickBooks Online and ready to take on a full set of books.

  • Entered and coded 400 vendor bills a month for a property management office with a low error rate on the owner's review.
  • Reconciled four operating bank accounts each month and flagged duplicate payments before they cleared.
  • Organized receipts and statements into a shared folder structure the accountant adopted for every client.

Mid level

Three to seven years, owns a process or a workload

Full-charge bookkeeper with four years of experience running AP, AR, payroll and reconciliations for small businesses, and a record of books ready for the CPA at year end.

  • Keep the complete books for a 25-person contractor, from invoices to payroll to the monthly close.
  • Reduced overdue receivables by setting up automatic reminders and a weekly aging review with the owner.
  • Prepared year-end workpapers and 1099s that the outside CPA used without follow-up questions.

Senior

Eight years or more, leads people, budgets or programs

Senior bookkeeper with nine years of experience who manages a portfolio of client files and a small team, and builds the checklists that keep every file closed on schedule.

  • Supervise two bookkeepers across thirty client files and review every reconciliation before it is sent.
  • Designed a monthly close checklist and client onboarding process that cut new-client setup from three weeks to one.
  • Advise owners on cash timing and payroll changes, and prepare the reports their lenders ask for.

Skills to put on the bookkeeper resume

Hard skills

QuickBooks Online and Xero
Almost every bookkeeping posting names one of them, and owners want someone who can start in their file tomorrow.
Bank and credit card reconciliation
Reconciled books are the core promise of the job, so show how many accounts you close and how quickly.
Accounts payable and receivable
Collecting faster and paying on time are the results an owner feels directly in their cash.
Payroll processing
Payroll mistakes are the ones employees notice, so experience running it cleanly sets you apart.
Sales and payroll tax filings
Penalties are expensive, and a record of on-time filings is simple for an owner to value.
Job costing
Contractors and agencies want to know which jobs make money, and a bookkeeper who can set that up is worth more.

Soft skills

Discretion
You will see salaries and the owner's finances, and a small business hires someone it can trust with both.
Organization across many files
Firms with many clients hire bookkeepers who keep every deadline straight without reminders.
Plain-spoken explanations
Owners rarely have finance training, so the bookkeeper who explains the numbers simply keeps the client.

Mistakes that cost bookkeeper interviews

  1. Not naming the software

Bookkeeping is software work, and postings usually name QuickBooks, Xero or a payroll platform. Write the product and version you know, and add a ProAdvisor or Xero certification if you hold one.

  2. Leaving out volume

Handled accounts payable could mean ten bills or a thousand. Give the number of clients, transactions, invoices or employees on payroll so an owner can picture the work.

  3. Skipping the cleanup stories

Many bookkeepers are hired to fix a messy file. If you have caught up months of transactions or rebuilt a chart of accounts, say so with the time it took; it is one of the most persuasive lines on the page.

  4. Calling yourself an accountant

Titles matter to tracking systems and to hiring managers. If the work was bookkeeping, use bookkeeper or full-charge bookkeeper, and show accounting depth through the tasks you list instead.

Questions about the bookkeeper resume

What is a full-charge bookkeeper?

A bookkeeper who handles the complete set of books through the trial balance: payables, receivables, payroll, reconciliations and the monthly close. If you do all of that, use the term; it tells an owner they will not need a second person for the routine work.

Do bookkeepers need a degree?

Most postings do not require one. Software certifications, an accounting certificate or an associate degree help, and experience with named platforms and on-time filings matters more to small business owners than a diploma.

How do I show bookkeeping experience from freelancing?

Treat your practice as an employer: name it, give the dates and describe the client base by industry and size. Bullets about the number of files you keep and the results you delivered read the same as employed work.

Should I list every client on my resume?

No. Describe the portfolio instead, such as fourteen small businesses in construction and retail, and keep client names private. Discretion is part of the job, and hiring managers notice when it shows.
